Privacy Policy
Effective date: October 19, 2026 · Last updated: October 19, 2026
This Privacy Policy explains how Cognesity, Inc. ("Cognesity," "we," "us," or "our") collects, uses, and shares information in connection with the website at cognesity.ai and related pages (the "Website"), and when you communicate with us or request a demonstration of our services. Please read it together with our Terms and Conditions.
1. Scope — and What This Policy Does Not Cover
This Policy applies to information we collect from website visitors, prospective customers, and people who contact us or request a demonstration.
This Policy does not cover protected health information (PHI) that Cognesity processes on behalf of healthcare providers and other customers through the Cogni Platform. That information is handled under separate Business Associate Agreements and the applicable customer's own privacy notices and authorizations, and is governed by applicable healthcare-privacy laws such as HIPAA — not by this Website Privacy Policy. Please do not submit patient-identifiable health information through the Website.
2. Information We Collect
Information you provide to us. When you complete a form, request a demo, schedule a meeting, subscribe to updates, or email us, we may collect your name, email address, phone number, employer or clinic name, role, and the contents of your message.
Information collected automatically. When you visit the Website, we and our service providers may automatically collect certain information through cookies and similar technologies, such as your IP address, browser and device type, pages viewed, referring URLs, and dates and times of access.
Information from third parties. We may receive information from scheduling, analytics, or marketing providers, or from publicly available professional sources, to help us understand and respond to inquiries.
3. How We Use Information
We use information to: (a) respond to your inquiries and provide requested demonstrations; (b) communicate with you about our products and services; (c) operate, maintain, secure, and improve the Website; (d) analyze usage and trends; (e) comply with legal obligations; and (f) establish, exercise, or defend legal claims.
4. Cookies and Analytics
We use cookies and similar technologies to operate the Website and understand how it is used. You can control cookies through your browser settings; disabling certain cookies may affect Website functionality. Where we use third-party analytics providers, those providers process information under their own policies.
5. How and When We Share Information
We do not sell your personal information. We may share information with: (a) service providers and subprocessors who perform services on our behalf (for example, hosting, scheduling, email, and analytics providers), under appropriate confidentiality and data-protection obligations; (b) professional advisors such as lawyers and accountants; (c) authorities or other parties when required by law or to protect our rights; and (d) a successor entity in connection with a merger, acquisition, financing, or sale of assets.
6. Third-Party Services
The Website relies on or links to third-party services, which may include scheduling tools (e.g., Calendly), video hosting (e.g., YouTube), cloud hosting, and analytics providers. These providers process information under their own terms and privacy policies, which we encourage you to review.
7. Data Retention
We retain information for as long as necessary to fulfill the purposes described in this Policy — including to respond to inquiries, pursue legitimate business interests, and comply with legal obligations — after which we delete or de-identify it.
8. Data Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
9. Your Choices and Rights
You may opt out of marketing emails at any time using the unsubscribe link or by contacting us. Depending on where you live, you may have rights to access, correct, delete, or restrict the processing of your personal information, to object to certain processing, or to data portability (for example, under the California Consumer Privacy Act or the EU/UK General Data Protection Regulation). To exercise these rights, contact us at writeus@cognesity.ai. We will respond consistent with applicable law and may need to verify your identity.
10. International Users and Data Transfers
Cognesity is based in the United States, and our systems and service providers process and store information in the United States. If you access the Website from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your country.
11. Children's Privacy
The Website is intended for a business and professional audience and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, please contact us and we will delete it.
12. Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice.
